1. Who we are

Gosforth Roofing ("we", "us", "our") is a roofing contractor based at 26 Northfield Road, Gosforth, Newcastle upon Tyne, NE3 3UL. We operate the website at www.gosforthroofing.co.uk.

For the purposes of UK data protection law — the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 — we are the data controller for the personal information described in this policy.

We only collect information we actually need in order to quote for and carry out roofing work. Depending on how you contact us, that may include:

• Contact details — your name, email address, telephone number and postcode
• Property details — the address of the property the work relates to, and details of the roof or the problem you've described
• Photographs — images you send us of your roof, and photographs we take during a survey or while carrying out work
• Correspondence — the content of emails, form submissions, text messages and notes of telephone calls
• Job and payment records — quotes, invoices, payment records and guarantee details
• Website usage data — see section 8 on cookies and analytics

We do not knowingly collect any special category data (such as health information), and we ask that you do not send it to us.

3. How we collect it

• Directly from you, when you complete the enquiry form, email us, call us or speak to us at a survey
• Automatically, when you use our website — through cookies and similar technologies
• Occasionally from third parties, such as a lead generation site, a letting agent, or a landlord instructing work on a tenant's property

4. Why we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for using your personal information. Ours are as follows.

• To respond to your enquiry and prepare a quote — necessary to take steps at your request before entering into a contract
• To carry out the work, arrange access, order materials and invoice you — necessary for the performance of our contract with you
• To keep records of completed work and honour our guarantee — our legitimate interests in managing our business and standing behind our workmanship
• To keep accounting and tax records — necessary to comply with our legal obligations
• To deal with complaints, disputes or insurance claims — our legitimate interests in establishing, exercising or defending legal claims
• To send marketing, or to use photographs of your roof in our portfolio — your consent, which you can withdraw at any time

We will always ask before using photographs of your property on our website or social media, and we will not include anything that identifies your address without your agreement.

5. Who we share it with

We do not sell your personal information, and we do not share it with anyone for their own marketing purposes. We do share it, where necessary, with:

• Scaffolding firms and subcontractors working on your job — they receive only the address and access details they need
• Suppliers and merchants, where materials are delivered directly to your property
• Our accountant and bookkeeper, for invoicing and tax purposes
• Our website and IT providers, including Squarespace, who host this website and store enquiry form submissions
• Our insurers and, if ever necessary, our legal advisers
• Regulators, HMRC or other authorities, where we are legally required to do so

Some of these providers, including Squarespace, may process data outside the UK. Where that happens, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement.

6. How long we keep it

• Enquiries that don't become jobs — up to 12 months, then deleted
• Quotes and job records — 6 years from completion, in line with the limitation period for contract claims
• Invoices and accounting records — 6 years after the end of the relevant tax year, as required by HMRC
• Guarantee records — for the length of the guarantee plus 6 years
• Marketing consents — until you withdraw consent

7. Your rights

Under UK data protection law you have the right to:

• Ask for a copy of the personal information we hold about you
• Ask us to correct information that is inaccurate or incomplete
• Ask us to delete your information, where we have no continuing reason to keep it
• Ask us to restrict how we use it, or object to our use of it
• Ask us to transfer it to you or another provider in a portable format
• Withdraw consent at any time, where consent is our lawful basis
• Object to direct marketing at any time

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would ask that you raise it with us first so we have a chance to put it right.

8. Cookies and analytics

This website uses cookies — small text files stored on your device. Some are strictly necessary for the site to function; these are set by Squarespace, our website platform, and cannot be switched off.

Our services are directed at property owners and occupiers, and we do not knowingly collect information from anyone under 18. If you believe we have done so, please contact us and we will delete it.
